Real Estate Virtual Assistant (Social Media Marketing Experience Required) | Dayshift | WFH! ID-11266

Job Overview:

The Real Estate Administrative Assistant will provide support to the Buyer’s Agent and will be responsible for assisting with the day-to-day operations of the real estate business, including administrative tasks, property research, transaction coordination and may eventually include client management.

Duties and Responsibilities:

Administrative Support

  • Manage and organise schedules, appointments, and meetings.
  • Handle email correspondence and client communications.
  • Maintain and update real estate databases and CRM systems.
  • Create, update, and manage property listings on various real estate platforms.
  • Ensure all property information is accurate and up-to-date.
  • Coordinate with real estate agents and clients to gather necessary property details.
  • Prepare and organise documents for client meetings and transactions.
  • Prepare contracts, agreements and other transactional paperwork.
  • Track status of transactions and communicate updates with the clients and Buyer’s agent.
  • Assist with the closing process, ensuring all documents are signed and submitted.

Research

  • Conduct property searches based on client criteria and identify suitable listings for the buyer’s agent.
  • Compile and summarise property information.
  • Preparation of reports and presentations

Lead Generation and CRM Management

  • Help manage leads by getting information of clients and scheduling of initial consultations.
  • Follow up warm leads and maintain client interest and build relationships.
  • Update and maintain the CRM with details of clients, transaction details and status.

Social Media Marketing

  • Manage social media accounts by posting updates, new listings and market insights.
  • Creation of newsletter, posters, brochures, flyers, online advertisements and email campaign.
  • Content creation (video materials, advertisement materials, webinars)

Potential ad hoc tasks:

Client Communication

  • Answer questions and provide relevant information
  • Follow-up with clients after property tour and gather feedback.
  • Send appointment reminders and updates.

Compliance

  • Assist with compliance tasks by preparing property condition reports, organising building and safety inspections, and compiling necessary documents.

Post-Sale

  • Follow-up with the buyer after the transaction to ensure satisfaction and gather testimonials.
  • Assist in post-purchase inquiries and concerns.
  • Maintain long-term relationship and call out for potential business transactions in the future, including referrals.

Qualifications

Other Jobs You May Be Interested In

  • Proven experience as a Real Estate Virtual Assistant or similar role, with a minimum of 3 years in the real estate industry.
  • Familiarity with real estate software and CRM systems (e.g., PropertyMe, Property Tree, Monday.com, Zoho, MLS, Zillow, Realtor.com).
  • Great communication skills, both written and verbal.
  • Strong organisational and multitasking abilities.
  • Ability to work independently and manage multiple tasks efficiently.
  • Knowledge of real estate terminology and processes.
