The ideal candidate will be the first point of contact for all visitors and will handle a variety of administrative tasks.

Key Responsibilities

  • Greet and welcome visitors with a professional and friendly demeanor
  • Answer and direct phone calls in a polite and timely manner
  • Manage the office calendar and schedule appointments
  • Maintain office supplies inventory and place orders when necessary
  • Handle incoming and outgoing mail and deliveries
  • Assist with the preparation of meeting rooms and provide administrative support during meetings
  • Perform data entry and maintain accurate records
  • Support the HR team with recruitment and onboarding processes
  • Ensure the reception area and office are tidy and presentable

Required Skills and Qualifications

  • High school diploma or equivalent; additional qualification as an Administrative Assistant or Secretary will be a plus
  • Proven experience as an administrator, receptionist, or in a relevant administrative role
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Attention to detail and problem-solving skills
  • Ability to handle sensitive information with discretion
  • Customer service-oriented with a positive attitude

Administrator/Receptionist

Experience

  • Minimum of 2 years of experience in an administrative or receptionist role
  • Experience in a recruitment agency or HR environment is advantageous

Working Hours

  • Full-time position
  • Monday to Friday, 9:00 AM to 5:00 PM
  • Occasional overtime may be required

  • Knowledge of office management systems and procedures
  • Familiarity with HR and recruitment processes
  • Ability to work independently and as part of a team
